This article explains when the Company Debt Alert updates in CAS 360 and what to check if a company's debt looks out of date or incorrect.
How the Company Debt Alert updates
Each morning, CAS 360 automatically lodges a Form RA67 – Request Company Debt Report for every agent. ASIC returns an RA68, and CAS 360 updates the debt alerts from it.
Changes during the day
If a payment is processed or a new fee is raised during the day, the debt alert won't update automatically until the following morning. To update it sooner, refresh the balance.
Refresh a company's debt during the day
- From the Main Toolbar, go to Company.
- Select the company from the list.
- From the Company Selection screen, click the Company Debt Alert icon.
- Click Settings and Options, then select Refresh Balance.
CAS 360 lodges a Form RA63 – Request Debtors Ledger Report for the company and updates the alert once ASIC responds.
What to check if the debt still looks wrong
Work through these checks in order.
If ASIC sends CAS 360 a blank debt report, CAS 360 does not clear your debt alerts automatically. Instead, you'll receive the notification No companies linked to this agent have any ASIC debt recorded.
Debt alerts won't update until you respond
All debt alerts stay on their previous values until you confirm or re-check the blank debt report.
- Click the bell icon in the top menu to open your notifications.
- Review your companies' debts, then beside the notification either:
- click Confirm to accept the blank debt report, or
- click Check again to ask ASIC to resend the company debt information.
See No companies linked to this agent have any ASIC debt recorded.
Payments can take time to be allocated to the company's account at ASIC. For example, cheque payments are cashiered within 3 business days of ASIC receiving the cheque. See ASIC Payment Processing Time.
If the company has paid but ASIC hasn't processed the payment yet, click Mark as Paid in the Company Debt Alert.
If more than one company in the Company Selection screen has the same ACN, the debt alert may not update correctly. Delete the duplicate company records, then refresh the balance. See Company showing ASIC debt incorrectly.
If ASIC systems are down, CAS 360 can't receive the daily debt report and debt alerts won't update. Check CAS 360 service status for any listed ASIC outage.
If the amount in CAS 360 still doesn't match what you expect, confirm the company's current debt directly with ASIC.
Alerts that don't clear when the debt is paid
Annual Review Deadline alert
The Annual Review Deadline alert doesn't clear automatically when the Annual Review fee is paid. It's cleared manually, or automatically when documents are digitally signed with the relevant option enabled. See Why is the Annual Review Deadline Alert still on when the debt has been paid?
Still not updating?
If you've worked through the checks above and the debt alert is still incorrect, log a support call and include:
- the company name and ACN
- a screenshot of the Company Debt Alert
- the date you first noticed the issue
- the steps you've already tried (for example, Refresh Balance or confirming the blank debt report notification)
