CAS 360 doesn't have a separate salutation field. To greet the recipient of a cover letter by first name (for example "Dear Robert" instead of "Dear Robert Smith"), replace the name code after "Dear" in the cover letter template with a first-name code.
Applies to
The Annual Review Cover Letter and Documents Prepared Cover Letter templates.
Which first-name code to use
Each cover letter supports different codes, so use the code for the template you're editing.
| Template | To greet | Code |
|---|---|---|
| Annual Review Cover Letter | The person selected as Letter Addressee | ${officerFirstNameProperCase} |
| Documents Prepared Cover Letter | The person selected as Letter Addressee | ${contactFirstNameProperCase} |
| Either cover letter | The company contact | ${CompanyContactFirstNameProperCase} |
The Letter Addressee codes use the person's casual name if one has been entered, and their first name if not. ${officerFirstName} works only in the Annual Review Cover Letter, and ${contactFirstName} only in the Documents Prepared Cover Letter.
The company contact code always shows the company contact's first name, even if a casual name has been entered. If the company has more than one company contact, it uses the first one. If the company contact isn't an individual, the code is left blank.
For every code you can use, see Annual Review Cover Letter - CAS 360 Dictionary Codes and Documents Prepared Cover Letter - CAS 360 Dictionary Codes.
Change the greeting
- Download the cover letter template, as described in How to edit a template.
- In Word, find the code after "Dear" and delete it.
- Type the first-name code from the table above in its place. Type the code rather than pasting it, as pasting can break it.
- Save the template under a new name, upload it and attach a label. To use it automatically, set it as the default.
- Prepare the documents in Document Production and preview the cover letter to check the greeting.
FAQs
No. CAS 360 has no salutation field. Use a first-name code in the template instead. To greet someone by a preferred name, add it to their contact as a casual name.
No. The middle name is a separate field. To include it in the Annual Review Cover Letter, use ${officerFirstAndMiddleNamesProperCase}. The Documents Prepared Cover Letter has no middle-name code.
Use ${officerFirstNameAndSurnameOnlyProperCase} in the Annual Review Cover Letter, or ${contactFirstNameAndSurnameOnlyProperCase} in the Documents Prepared Cover Letter. If a casual name has been entered, it replaces the first name.
You can select more than one person as Letter Addressee in the cover letter options. The first-name code then lists everyone in the order you selected them, for example "Dear Bob and Jane" for two people or "Dear Bob, Jane and Peter" for three.
The company contact code shows only one name, so use the Letter Addressee code when the letter goes to more than one person.
The code may have broken when it was pasted, or it isn't supported in that template. Delete the code, type it again exactly as shown in the table above, and upload the template again.
