Introducing Automated Company Debt Reminders
The time for an automated, set, and forget ASIC debt management has arrived. CAS 360 can now automatically remind your clients of their outstanding debts to ASIC.
These reminders will help ensure your clients are on top of any outstanding ASIC fees that are owed and give them the ability to process fee payments with the easy-to-use link included within the reminder. CAS 360's Automated Company Debt reminder gives you total control over:
- When reminders are sent - You can select the time frame when you want the reminders to be sent out
- Templates - You are also able to select which template you would like to use for sending the reminders
- Send To - You are able to control who the reminders are sent to. Whether that be the billing contact attached to the company and/or the company directors. You can also copy the company's Partner and Manager contacts on every reminder.
- Including the Invoice - You are able to easily select whether or not the ASIC invoice is also attached to the Debt reminder that your clients receive.
How does this work?
In the settings menu, Automated Reminders has been added. This feature needs to be activated by your firm before it starts sending reminders.
| From the Main Toolbar, go to Settings | |
| Select Automated Reminders |
At the top of the Automated Reminders screen, you will see the following:
Simply toggle this option to activate your Automated Company Debt reminders.
CAS 360 will now ask you the following:
| Field | Explanation |
|---|---|
| Upcoming Debts with Due Dates | Choose to have the Debt reminder to be sent automatically from 30 to 0 days before the deadline. The reminder will be sent at the time set when entering the reminder. |
| Overdue or Unknown Due Date Debts | Choose to have the Debt reminder to be sent automatically every 1, 2, 3, 4, 5, 6, 7, 14 or 21 days. The reminder will be sent each morning after CAS 360 automatically checks all your company debts for you. |
| Only send automated reminders after RA68 - Company Debt Report has been received for that day? |
CAS 360 will automatically lodge a Form RA67 each morning for every agent. This will check all outstanding debt for all of the companies your firm is agent for. Companies with any outstanding debt will activate the company debt alert. Where there is an outstanding debt for a company, an RA68 will be received. In this case, users may choose to only send automated debt reminders after an RA68 is received. |
| Sender | Select a user who has access to your CAS 360. This user will be who the email reminders are addressed from. Also, if your clients reply to the email reminders their replies will be addressed to this user's email address. |
| Email Template | Select an email template from your customised templates. See How to edit/change an email template for more information. |
| Attach Invoice | Select whether an invoice will be attached to the email reminder. You will also have the choice to pick between the ASIC invoice (original invoice) or the CAS invoice (Copy of the invoice that can be customised from the Document Templates screen) |
| Send to | Choose who receives automated debt reminder (Billing Contact, Company Directors, or Both). To change the recipient’s email, update the email address in the company’s contact details. To also copy the company's Partner and Manager contacts, see Copying partners and managers on debt reminders. |
| Select Labels | Apply the Automated Debt Reminder to companies attached to chosen labels. This determines which companies the automated reminders apply to. If a company isn’t tagged with one of the selected labels, CAS 360 will not send a debt reminder for that company. |
Click .
Your Automated Company Debt Reminders are now active. Your clients will now receive debt reminders as per your specified time frame.
Also, don't be worried about your clients being bombarded with debt reminders. CAS 360 will know not to send a reminder to your clients who do not have any outstanding debt.
Note: Automated Debt reminders will not be sent if the annual review has not been processed.
For the Automated Debt reminder to activate, the Annual Review document status for the company should be "PROCESSED". Automated debt reminders will not activate for Annual Reviews sent for review. Once the document review has been completed, the automated debt reminders will activate.
In addition, Automated Debt reminders only apply to ASIC debts processed after the reminder feature has been enabled. Any ASIC debts or Annual Reviews processed before Automated Debt reminders were enabled will not receive reminder emails.
Copying partners and managers on debt reminders
Automated debt reminders follow your firm's Email Settings. To send a copy of every debt reminder to the company's Partner and Manager contacts, turn on the CC (or BCC) options for these contacts.
| From the Main Toolbar, go to Settings | |
| Select Email Settings | |
| Under CC Addresses, toggle on Always CC Partner contact(s) and/or Always CC Manager contact(s). To copy them without other recipients seeing their email addresses, use the matching options under BCC Addresses instead. |
|
| Click Save. |
Each company's Partner and Manager contacts are set on its General Details screen. See Company Contacts Explained.
Note:
- If these options are turned off, Partner and Manager contacts don't receive debt reminders.
- If a company has no Partner or Manager contact, or the contact has no email address, the reminder is still sent to the recipients chosen in Send to.
- Email Settings apply to all emails your firm sends from CAS 360, including automated document deadline reminders, not only debt reminders.
Managing Reminders
We have also implemented an Automation report that will be shown to users who have the automated reminders activated.
If you have set up automated reminders, and no email address has been provided for the contacts in that company, you will be notified that an email could not be sent from CAS 360.
For more information, see Automation Report.
Does CAS 360 charge for reminders?
CAS 360 does not charge for sending reminders or messages. Notifications and reminders can be sent to clients without any additional cost.
How to Disable Debt Reminders for Specific Companies
To prevent a particular company from receiving automated debt reminders, you can use labels to control which companies are included:
In the Automated Reminders screen, click Select Labels and choose only the labels that should receive reminders.
To exclude a specific company, ensure its label is not selected in the reminder settings, or that label has not been attached to that company.
