CAS360 does not support contact archiving or bulk import for superannuation fund contacts — this article explains what is available instead.
Archiving Contacts
CAS360 does not have a built-in archive function for contacts. There is no way to mark a contact as inactive or hidden while keeping it in the system in an archived state.
If you need to manage contacts that are no longer in use, the following alternatives are available.
Option 1: Delete the Contact
You can permanently delete a contact that is no longer needed, provided it is not linked to any active entities.
Warning: Deletion is permanent. A deleted contact cannot be recovered. Before deleting, confirm the contact is not associated with any current companies, SMSFs, or other records in CAS360.
- Navigate to Contacts in the left-hand menu.
- Search for and open the contact you want to remove.
- Click the Delete button.
- Confirm the deletion when prompted.
If the contact is linked to an active entity, CAS360 will prevent deletion. You will need to remove or reassign the association before proceeding.
Option 2: Use a Tag to Flag Inactive Contacts
If you want to retain the contact record but distinguish it from active contacts, you can apply a custom tag such as "Inactive" or "Do Not Use".
- Open the contact record.
- Locate the Tags field.
- Type your tag (for example, Inactive) and save.
You can then filter your contact list by tag to separate active and inactive records. This is the closest equivalent to an archiving workflow currently available in CAS360.
Option 3: Deduplication
If the reason for wanting to archive a contact is that duplicate records exist, use the CAS360 deduplication tool to merge or remove the duplicates rather than archiving them.
Note: Deduplication is a separate process and is covered in its own knowledge base article. Search for "deduplicate contacts" in the knowledge base.
Bulk Importing Superannuation Fund Contacts
Standard Contact Import
CAS360 supports bulk import and update of contacts for companies using a CSV import process. For full details of that process, see [Importing and Updating Contacts in CAS360] (link to standard contact import article).
Superannuation Fund Contacts — Bulk Import Not Supported
Bulk import and bulk update are not available for superannuation fund (SMSF) contacts in CAS360. This applies to both new contact creation and updates to existing SMSF-linked contacts.
SMSF contacts must be added or updated individually through the contact record or from within the relevant SMSF entity in CAS360.
Note: This is a known feature gap for SMSF contact management. If bulk import for SMSF contacts is a significant requirement for your practice, consider logging a product feedback request through the BGL client portal so it can be considered for a future release.
Adding a Contact to an SMSF Manually
- Navigate to SMSF in the left-hand menu and open the relevant fund.
- Select the Contacts or Members/Trustees tab (depending on the contact type).
- Click Add or Link Contact.
- Search for an existing contact or create a new one by entering the required details.
- Assign the appropriate role (for example, Member, Individual Trustee, Director of Corporate Trustee).
- Save the record.
Repeat this process for each contact that needs to be added to an SMSF.
